Shredding/Recycling of Confidential Information
Procedures for Confidential Documents "Do Not Destroy"
- Place documents in proper storage box/container. The box/container must include the following information: Department name; Name of person requesting documents be stored; Current date (day, month, year); and Destroy date (day, month, year)
- Submit Work Order to M&O for pick up
- Boxes/containers will be picked up and placed in storage by Custodial Department; a supervisor will be present.
- Documents not to be destroyed will be placed in secured area located in the L.A. Basement.
- When the expiration date arrives, the documents will be destroyed.
- In the meantime, the documents are stored in the L.A. Basement for retrieval if needed.
- Depending on the department, documents can be stored up to seven (7) years.
- When requesting for storage, be sure of destroy date.
Procedures for Confidential Documents "Destroy Now"
- Place documents in proper storage box/container. The box/container must include the following information: Department name; Name of person requesting documents be destroyed; Write the words "destroy now"
- Submit Work Order to M&O for pick up
- Boxes/containers will be picked up by Custodial Department; a supervisor will be present.
- Documents to be destroyed now will be placed in secured area located in the L.A. Basement.
- When container is full, our vendor Advanced Data Storage (ADS) will be contacted. Supervisor will be present when removal and transfer of containers occur.
- The vendor will deliver an empty container and remove the full container to destroy and recycle the documents.
